Prevent Spam Emails

Spam emails can clutter your inbox, waste your time and pose security risks. Fortunately, our webmail platform offers powerful filtering tools that allow you to manage and block unwanted messages before they reach your inbox. By setting up email filters, you can automatically sort or delete spam, saving you the hassle of manually dealing with junk mail. In this guide, we'll walk you through the steps to create effective email filters within your webmail portal, helping you take control of your inbox and minimise spam for good.

Setting up email filters

Please follow the steps below to set up email filters, which will help reduce the amount of spam you receive within your mailbox:

For this, you will need the following information:

Your Email Address
Your Email Password

  • Click on the "Settings" button on the left-hand side of the screen

  • Click "Create" in the top right-hand side of the screen

A new section will then open on the right-hand side. Below, we have explained what each section means:

Filter name

The filter name is a unique identifier used for your own purposes. In this box, you can enter anything you want, however we recommend that you set this to describe the purpose of your filter. For example:

  • Block SEO Spam
  • Block Website Spam
  • Prevent Unwanted Spam

Filter Enabled

This option has two states: on (blue) or off (grey / white). Whilst enabled, the rule will continue to filter emails. If you wish to stop emails from being moved or deleted without removing the filter, simple turn off the filter and click "Save".

Scope

The scope determines if ALL conditions that you have set out must be met before any filtering applies, or if only ONE of the conditions needs to be met for the filter to apply. In most instances, this should be set to "matching all of the following rules"

Rules

This is where you can define the rules that must be met for the email to be either moved to your junk folder, or deleted permanently. We recommend the following options:

  • "Subject" or "Body"
  • contains

Please note: You will not be able to have rules for both "Subject" and "Body" in the same filter. To check both of these sections of the email, you will need to create two separate rules.

In the text box, you can then enter a specific keyword, such as "Ranking" or "SEO". You will then need to click on the + icon next to the rule to add another rule, which should be as follows:

  • From not contains vector7.co.uk

This will allow you to continue receiving any reports that our team send to you relating to your website's Google positioning, website traffic, etc.

Actions

Within the action, you can select either "Move message to" or "Delete message". Initially, we recommend setting this to "Move message to Spam", to allow you to monitor filtered emails to ensure legitimate emails are not incorrectly filtered.

Once you are happy that everything is working correctly, and only spam emails are being moved, you can update the rule to "Delete message", which will prevent you receiving these emails completely.

Once all of the sections have been filled out, you will then be able to click "Save" to save the rule and begin filtering emails.

Editing Filters

After saving the filter, this will be shown in a list in the centre panel. You can click on each rule to edit and update these as required.
